What is it, and why do you need it?

What is EHS for?

When OHS records live on the specialist's computer, the waste declaration with the environmental consultant and energy consumption in the bills, both the legal obligations and the ESG report are compiled from scratch every year.

The EHS app records an accident with its root cause, a risk with its mitigation and a work permit with its approval. Energy, waste and meter data flow into the carbon inventory and ESG metrics.

Scope: Manages environmental and occupational safety processes such as accidents, risks, work permits, waste and ESG.

Sub-modules

EHS: 7 sub-modules

This list is generated from the product itself; it grows as new functions are added to a sub-module. Master data and settings are the shared ground of every module and are not counted as sub-modules.

Environment & Energy

  • Energy & ConsumptionRecords monthly electricity, water and gas consumption by branch; normalizes it per person and square meter, and calculates carbon emissions and budget variance.
  • Waste ManagementManages waste types, quantities and disposal processes.
  • Packaging EPR ReturnsPrepares the packaging declaration under extended producer responsibility: the period's sales issues (net of returns and exports) are multiplied by the products' packaging components (can be filled from the bill of materials), and the contribution fee is found from kg per material and the scheme tariff; once declared, the expense accrual is posted and payment is marked.
  • Environmental Compliance ReportCombines environmental audit (ISO 14001/50001), waste and emission compliance in a single period report.
  • Meter InventoryRecords meter devices and their technical data.

Incidents & Root Cause

  • Accident/IncidentRecords and investigates workplace accidents and environmental incidents. In the Root Cause Analysis section, the root causes of incidents are analyzed; in the Frequency Rates section, accident frequency rates of recent years (TRIR · LTIR · DART) are compared side by side, and you can drill down from a row to that year's incidents; in the QR Reporting Points section, QR-coded points for reporting incidents in the field are defined.
  • Food Safety IncidentRecords food safety incidents (HACCP); manages authority notification and recalls.
  • Lone WorkerMonitors the safety of lone workers: the worker starts a session and checks in with 'I'm OK' at the interval they set; if a check-in is late, the worker is reminded first, then the supervisor, then the HSE team is alerted. The panic button turns the session into an emergency; the last location and timeline are followed here and the alarm is resolved here.
  • Emergency DrillPlans and records emergency drills such as fire/chemical/earthquake (6331/ISO 45001) and evaluates evacuation performance.

Risk & Work Permits

  • LOTO (Lockout/Tagout)Manages lockout/tagout (LOTO) energy isolation procedures.
  • Work PermitIssues and tracks work permits for hazardous jobs.
  • Contractors & Site AccessPrepares subcontractors for the site: pre-qualification assessment (score and decision), mandatory company documents, HSE training, health reports and induction training of subcontractor workers. A worker whose requirements are complete is let onto the site; if something is missing, entry stops or HSE is notified with a justified exception; the people currently inside form the evacuation list.
  • Risk AssessmentAssesses workplace risks and produces a mitigation plan.
  • Change Risk Assessment (MoC)OHS risk assessment of process/equipment changes (MoC). For master data change requests, see Admin › Change Requests.

Health, PPE & Chemicals

  • Industrial Hygiene + Health SurveillanceMonitors industrial hygiene measurements and employee health.
  • HSE OrganizationManages the OHS committee (Law 6331, Art. 22) with its members and meeting decisions; calculates the meeting due date by hazard class and reports a missing mandatory member. In the Specialist / Physician Assignment section, assignments of the occupational safety specialist, workplace physician and support staff (Law 6331, Art. 6) are tracked with certificate class and contract term; a warning is issued before the term expires.
  • NACE Hazard ClassesShows the hazard class (less hazardous · hazardous · very hazardous) of the NACE codes in Annex 1 of the Workplace Hazard Classes Communiqué; the workplace's hazard class, OHS committee and specialist duration are derived from here.
  • PPE TypesDefines personal protective equipment types (Law 6331, Art. 10) with EN standard, service life and requirement rule; the delivery record is kept in Asset Assignment Management, and a renewal reminder is generated for PPE whose service life has expired.
  • Chemical ManagementManages the chemical inventory and safety data sheets.
  • Product ComplianceTracks products' REACH/RoHS/KKDIK compliance, SVHC status and validity periods.
  • Product Conformity FilePrepares the CE declaration of conformity per product model: applied legislation and harmonised standards, assessment module and notified body, signatory; risk assessment, test report, technical drawing and user manual in the technical file. For products sold in the EU, the GPSR responsible person and safety warnings; for energy-labelled products, the EPREL registration. When nothing is missing the declaration is published and its Turkish/English PDF is produced; changes are made with a new version, and the declaration is kept for 10 years.

Audits

  • EHS AuditPlans environmental and occupational safety audits and tracks their findings; in the Audit Program section, recurring audits are linked to the plan and created automatically when due; in the Checklist Templates section, the templates used in audits are defined by section and question.
  • Safety AgentsHSE agents scan HSE data every morning and write a proposal when a threshold is crossed: a branch dropping in the benchmark, an audit finding past its target date, a critical finding recurring at the same branch, an incident recurring at the same place, a lone worker who often triggers alerts. The proposal also lands in the Inbox; when approved a task is opened for the HSE or quality team, and when rejected it is closed with a reason. If AI is available, it adds a priority and a short assessment to the proposal.

Branch Routines

  • Branch Routine ExecutionLists, by branch, the opening/closing/shift routines field staff must perform today; tap a card, answer the template questions and complete with photo + signature.
  • Branch Routine ScheduleLinks branch opening/closing/shift routines to an audit template + branch/region + frequency + time window; a scan for missed routines generates alarms. In the Compliance Scorecard section, the riskiest branches are ranked at the top by completion, skipped and critical findings.
  • Branch BenchmarkingCompares branches in the selected period with a single score and 1-5 stars: routine completion, on-time completion, audit score, critical findings, skipped routines and mystery shopper score are converted to 0-100 points by weight; the difference from the previous equal period and the indicator where the branch lost most points are shown. In the Criteria section, weights and 100/0 point values are set per company.

ESG & Carbon

  • ESG ReportsFreezes the period carbon inventory and environmental indicators and converts them into a GHG Protocol/CSRD/GRI sustainability report.
  • Carbon InventoryLists the GHG Protocol Scope 1/2/3 carbon inventory rows; manually adds items that cannot be read automatically, such as refrigerant gas leaks. In the Emission Factors section, the conversion factors used in emission calculation are defined; in the Carbon Price section, the ETS allowance unit price used to calculate emission cost is kept by year.
  • ESG MetricsLists ESG (Environmental/Social/Governance) indicator datapoints; manually adds metrics that cannot be generated automatically (especially Governance) and tracks them with an optional period target. In the Targets section, SBTi/net-zero reduction targets are managed; the indicator's baseline→target roadmap is compared with the metric's actual value, and the deviation (on track/behind/at target) is tracked.
  • Deforestation Due Diligence (EUDR)Runs due diligence for cocoa, coffee, palm oil, soy, cattle, rubber and wood under the EU Deforestation Regulation (2023/1115): in-scope materials are found from the HS code; for every supplier batch you enter the country of origin, the location of the production plot, the production date, proof of no deforestation after 2020-12-31 and the legality document, then country risk and the risk assessment are done; when nothing is missing the DDS reference is recorded and shipments to the EU are linked to this record.

Frequently asked

Hazardous work permits and lockout/tagout records are kept with the person doing the work; subcontractor accounts are external users and aren't counted towards the fee.

Where does the data for the ESG report come from?

Energy, meter, waste and purchasing carbon data flow into the carbon inventory; ESG metrics are calculated from these records.

Are branch audits here?

Yes. The branch routine schedule and execution, and OHS field audits, are in the EHS app.
