What is it, and why do you need it?

What is Zenoheld Projects for?

When the investment budget is in finance's spreadsheet, project tasks in a work tracker and expenses in accounting, budget overruns are noticed only after the project ends.

Zenoheld Projects brings budget, tasks, spending and time tracking together in the same project. Investment requests go through approval and are linked to a programme; budget and actuals are tracked side by side.

Scope: Manages investment programmes and requests, and projects with work breakdown structures, networks, milestones and time tracking.

Sub-modules

Zenoheld Projects: 4 sub-modules

This list is generated from the product itself; it grows as new functions are added to a sub-module. Master data and settings are the shared ground of every module and are not counted as sub-modules.

Investment Management

  • Investment ProgrammesManages investment programs with a budget and position hierarchy; the programs' budget/actual matrix, hierarchical total and ROI realization are in the Investment Reports section of the same screen.
  • Investment RequestsReceives investment requests, moves them to approval and links them to a program.

Project Structure

  • Service QuotesPrices service work by phase × role × hours of effort: when a role is chosen, the sales and cost hourly rates come from the rate card, and discount and gross margin are calculated in the quote. When a sent quote is accepted, a project with the phases as tasks and the roles as budget lines is opened in one click.
  • Agile BoardsRuns a project in sprints: stories, tasks and bugs are estimated with story points in an ordered backlog, taken into a sprint and compared with capacity; the running sprint moves across a four-column board, the burndown shows remaining points against the ideal line, and the velocity chart shows committed versus completed in recent sprints. Items are the same as the tasks in Business Projects.
  • Business ProjectsManages branch openings and business projects from a single place, with tasks, budget, site log, photo feed, change order, and offsetting.
  • Project StructureManages the project definition (profile, factory calendar, status) and links it to a business project via a bridge; the project's work breakdown structure (WBS), activity network, milestones, and offsetting rules, together with project profile/coding mask settings, are sections of the same screen.
  • Punch ListProjects' pre-handover snags and defects in one list: due date, location, responsible company and status. The site enters an item and marks it fixed, and verification is done by another authorised person; overdue items and those under warranty are flagged.
  • Project Time SheetRecords the time staff spend on a project.

Listings

  • InitiativesTracks strategic initiatives and linked projects.
  • New Product DevelopmentTakes new product ideas to launch with a stage-gate process: deliverables of the six stages (idea · scope · business case · development · testing · launch) are tracked, a weighted score is given at every gate with the company's criteria and the go · rework · hold · stop decision is recorded; net present value and payback period are calculated from the business case, and the stage funnel is followed on a kanban.
  • Portfolio Plan
  • Project Goals (OKR)Defines team and individual goals and tracks progress.

Reports

  • Project ReportsShows projects' progress, cost, efficiency and team workload reports and a free pivot analysis.
  • Work in ProgressRevenue and cost of projects in progress: contract value, budget, actual and committed cost, cost-to-complete percentage, earned revenue, billed; over- or under-billing and expected loss. No currency conversion is made.
  • Cost ForecastsPeriod-end cost estimate for projects: for each cost type, the actual, committed and remaining cost needed to finish the work. The approved estimate is the estimated cost in the Work in Progress report; if it exceeds the contract value, the expected loss shows.

Settings master data and settings

  • Project TemplatesKeeps task patterns for new projects as templates; a project is created from a template in one step, and an existing project is turned into a template with "Make Template" in its detail.

Frequently asked

About Zenoheld Projects

Can we manage branch openings with a template?

Yes. The task pattern is kept as a template; a new project is created from it in one step, and a finished project can be turned into a template.

How do project expenses reach accounting?

Expenses tied to a project are moved to cost by settlement rules; budget and actuals appear in the project report.

Can staff log the time they spend on a project?

Yes. The timesheet records the time staff spend on a project; the team workload report is built from those entries.
