What is it, and why do you need it?

What is Zenoheld Maintenance for?

When breakdowns are reported by phone and closed in a notebook, nobody knows why the same machine keeps stopping, which part was replaced how many times or what was paid to the subcontractor.

With Zenoheld Maintenance, a breakdown is reported from a QR point, becomes a work order and its root cause is recorded. The preventive maintenance plan opens periodic jobs by itself; spare part and subcontractor costs are charged to the equipment.

Scope: Manages work orders, preventive maintenance, assets, subcontractors and food hygiene processes.

Highlights

What can you do with Zenoheld Maintenance?

01

Equipment and functional locations

Equipment, functional locations, equipment BOMs and criticality (FMEA); catalogue codes and planner groups.

02

Breakdowns and work orders

Maintenance notifications, maintenance work orders, task lists, service quotations and root cause analysis.

03

Reporting by QR

QR posters placed on locations and equipment; employees and visitors report breakdowns without signing in.

04

Preventive maintenance

Maintenance plans and periodic inspection templates; measuring points and equipment calibration.

05

Field service and subcontractors

Field work orders, maintenance requests, subcontractor management and kitchen equipment service.

06

Sensor monitoring

Readings from sensors and data maturity; a threshold breach warns before a breakdown.

Sub-modules

Zenoheld Maintenance: 8 sub-modules

This list is generated from the product itself; it grows as new functions are added to a sub-module. Master data and settings are the shared ground of every module and are not counted as sub-modules.

Spare Parts

  • Spare PartsMonitors spare parts stock levels and warehouses; manages consumption, purchase requisitions, and ABC classification on the same screen.

Contractors & Compliance

  • Kitchen Equipment ServiceMonitors branch kitchen equipment; opens a breakdown as a maintenance notification and closes the repair. Each piece of equipment's maintenance card is opened together with the record.
  • Subcontractor ManagementManages maintenance subcontractors: companies and their competencies, external work orders, contracts, quotations, and mandatory compliance documents.
  • Provider NetworkCompany profiles that subcontractors publish with their consent from the portal link: service types, the provinces they serve and the network score (the average of the external job scores from all companies). You add a suitable provider to your subcontractor list in one click.

Condition Monitoring (IoT)

  • Sensor MonitoringMonitors equipment data from sensors live; shows alarms and sensor analysis on tabs of the same screen.
  • Asset HealthGives every piece of equipment a 0–100 health score: open alarms, recent breakdowns, overdue preventive maintenance, unfinished breakdown work and how much of the planned life has been used. Sorted from worst to best; those that dropped in the last 7 days and unusual readings (deviation) stand out.
  • Data MaturityShows which master data gaps are preventing maintenance capabilities from working.
  • Asset TrackingTracks portable equipment (forklifts, generators, trailers) with BLE tags, GPS trackers or telematics units: last seen location on a map, engine hours posted to the maintenance meter, utilisation calculated; idle and unseen equipment stands out.
  • Sensor ConnectionsReceives data from sensors and devices automatically: the device or sensor platform sends to the given address (HTTP), or a subscription to an MQTT broker is set up. Once incoming tags are linked to measuring points, readings are processed with limits, alarms and automatic breakdown notifications.

Field Service

  • Work OrdersOpens breakdown and maintenance work orders, assigns them to the team, schedules them on the calendar, and tracks their completion; SLA targets and shift handover are on the same screen.
  • Maintenance RequestsCollects maintenance and breakdown requests coming from the field/branch and converts them into work orders — this is the main way to report a breakdown.
  • ChecklistsMaintenance checklists filled in step by step on the work order: pass / fail / N/A, measurement, choice, photo and signature. A failed answer turns into a maintenance request and a flagged measurement goes to the equipment's meter; an unfinished checklist doesn't let the work order close.
  • Team UsageHow much the maintenance team uses the system: in the period, who opened requests and work orders, entered checklists and meter readings, logged time; how many technicians have an account and use it; how many closures are evidenced in the field with time, checklist or signature; which channels requests come from.
  • Breakdown Report QR PointsManages QR posters displayed at locations and on equipment; employees/visitors report breakdowns without logging in.

Notifications & Work Orders

  • Maintenance NotificationTechnical notification (M1-M3) opened from an equipment/location context — for a field request, use the "Requests" screen.
  • Work OrderPlans, costs and closes maintenance work orders; at period end, transfers to accounting the cost of the selected orders that are ready for closing.
  • Planned ShutdownsManages planned shutdowns where the plant is stopped for a set window and many maintenance orders are done together (overhaul, turnaround): window, budget, target downtime, linked orders, the readiness of each order (released · window · crew · material) and progress. The shutdown can't close while orders are open; remaining work is carried over to the next shutdown.
  • Service QuotationMaintenance/service price quotation given to the customer; an accepted quotation converts to a PM01 maintenance order with one click.
  • Task ListDefines maintenance operation steps in a task list template.
  • Failure Root Cause AnalysisAnalyzes the root cause of recurring breakdowns using methods such as 5 Whys / fishbone; tracks the corrective action with owner and due date.
  • QR ScanReports equipment maintenance in the field by scanning a QR code.

Customer Equipment

  • Installed BaseRecords equipment placed at customers (coolers, cabinets, machines) with customer, point and address; installation/removal dates, loan/rental status and deposits are tracked here, and breakdown reports and service quotations are opened from this record.

Preventive Maintenance

  • Maintenance PlanDefines periodic maintenance plans and their triggers.
  • Periodic Inspection TemplatesWork Equipment Regulation Annex III periodic inspection templates: equipment type, maximum interval, person performing the inspection and criteria; a preventive maintenance plan is created from the template.

Measurement & Calibration

  • Equipment CalibrationManages the calibration plan and results of equipment and measuring devices.
  • Measuring PointsTracks equipment measuring points and meter readings.

Master Data master data and settings

  • CriticalityClassifies assets by criticality level according to their impact on production.
  • BOMDefines the spare parts bill of materials (BOM) of equipment.
  • Replacement PlanningSuggests when equipment should be replaced: the earliest of the year its planned life ends, the ratio of the last 12 months' maintenance cost to the replacement price, and the health score; with priority and reasoning. In the Scenarios section an annual budget is entered, the list is spread over years by priority and what doesn't fit is deferred; a replacement is turned into an investment request.
  • Functional LocationDefines the plant functional location hierarchy.
  • EquipmentRecords maintenance equipment with its technical data.
  • Catalogue CodesDefines breakdown, cause and activity catalog codes.
  • Planner GroupDefines maintenance planner groups.

Frequently asked

About Zenoheld Maintenance

Do you need an account to report a breakdown?

No. An employee or visitor who scans the QR poster reports the breakdown without signing in; the report lands in the maintenance team's queue.

Is calibration tracked?

Yes. Equipment calibration and measuring points are tracked with their intervals; there is a single calibration ledger shared with quality.

Where does spare part stock come from?

Spare parts are materials in Stock & Warehouse; a part used on a work order is deducted from stock and its cost is charged to the equipment.
