What is it, and why do you need it?

What is Zenoheld Workforce for?

When shifts are in Excel, leave requests on paper and timesheets calculated by hand at month end, the data that reaches payroll is both late and wrong; and employees have to call HR to find out how much leave they have left.

Zenoheld Workforce keeps clock-ins and shifts in the same place; the timesheet builds itself and goes to payroll. The employee portal puts leave requests, shifts and clock-in on the employee's phone.

Scope: Runs shift planning, clock-in/out (time and attendance), timesheets and leave, plus the employee portal where employees see their own requests and documents.

Sub-modules

Zenoheld Workforce: 5 sub-modules

This list is generated from the product itself; it grows as new functions are added to a sub-module. Master data and settings are the shared ground of every module and are not counted as sub-modules.

Shifts

  • Shift PlanningCreates the roster by assigning employees to daily shifts. Builds the roster automatically based on workload and constraints; publishes and fills open shifts that have no employee assigned. Shift swaps (offer + manager approval) and employees' weekly availability/preferences are parts of the same screen; the hourly staffing demand forecast from POS sales and the labor cost ratio (plan/actual variance) are read together in the Analysis section for the same location and range.
  • Shift PatternsDefines recurring shift cycles as patterns and assigns patterns to employees for periods. Check-in–core–check-out bands for flexible working and the assignment of bands to employees are parts of the same screen.

Attendance & Timesheet

  • Attendance TodayWho came in today, who is inside, who is on break, who didn't come, who was late or left early — as a list of people, refreshed every minute.
  • Time Clock In/OutCollects employees' clock-in/clock-out records and tracks daily attendance. Bulk correction and manager review of mobile (QR/GPS/manual) records are parts of the same screen. The exception desk, mobile QR codes and geofence areas are also on this screen.
  • Branch Kiosk QRA clock-in/out QR left open on a tablet at the branch; the code changes every 30 seconds, so a photo of it is useless.
  • QR ReaderTurns the manager's phone into a reader: scanning an employee's personal QR records a clock-in or clock-out for them.
  • Timesheet SummarySummarizes monthly work, leave and overtime days/hours in the timesheet that serves as the basis for payroll. Approves and locks the period (retroactive changes are blocked after payroll).
  • Overtime RequestsSubmits overtime requests for approval and converts them into pay or compensatory leave. Automatically calculates overtime from the actual hours − calendar difference and converts it into a request.
  • Absence & Attrition RiskScores employees' absence frequency using the Bradford formula and flags risky ones; Turnover Risk, which deterministically scores attrition (turnover) risk from absence, overtime and engagement signals, is part of the same screen.

Leave

  • Leave BalancesShows each employee's earned, used and remaining leave balance. Year-end carryover/closing and the new year's entitlement by seniority are parts of the same screen.
  • Leave RequestsReceives employee leave requests, moves them through the approval flow and deducts them from the balance.

Employee Portal

  • Employee PortalBrings together the employee's personal HR summary and quick actions on a single page.
  • My LearningScreen where employees follow the trainings assigned to them step by step (content · exam) and enroll themselves in courses open for registration.
  • Clock In / OutLets employees clock in and out from their phone using location, QR or the manual method.
  • My BreaksThe screen where an employee picks the type of break when going on break and ends it on return; the break is written to the actual break in the timesheet.
  • My LeaveThe screen where employees see their own leave balance and requests and open a new leave request.
  • My AdvancesThe screen where employees see their own advance limit and requests and open a new advance request.
  • My LettersThe screen where employees ask for a salary letter or an employment letter; once HR approves, the letter's PDF is downloaded here.
  • My AssetsThe screen where employees see the assets assigned to them, confirm receipt and open a return request.
  • My DocumentsThe screen where employees get the personnel documents produced for them (pay rise letter, employment contract, approved letters) as PDFs.
  • ResignationThe screen where an employee gives notice of resignation; the notice period and last working day are calculated and the offboarding process starts.

  • My AvailabilityScreen where employees declare their available/preferred hours by weekday and their shift preferences.
  • My ShiftsScreen where employees view their upcoming shifts published to them and respond with “Seen”/“Confirmed”.
  • My ReferralsScreen where employees track the process status of candidates they referred for hire and the referral bonus.

Frequently asked

About Zenoheld Workforce

Does giving every employee an account increase the fee?

The fee is calculated from your headcount, not from users. Everyone with an employee record is already counted; giving them an account doesn't change the fee.

Can employees clock in from their phone?

Yes. Mobile clock-in in the employee portal records clock-ins and clock-outs from the phone; the record lands in the timesheet.

How does the timesheet get to payroll?

The timesheet summary is the Payroll app's input; overtime and leave aren't carried over by hand at month end.
