User guide

How to get Zenoheld running in your company: setup, data import, users, subscription and integrations. For what each screen does, see the screen guide (851 screens, searchable).

Getting started: six steps

The Admin › Go-Live Cockpit screen measures each of the six steps below from its own screen, shows its status and takes you to that screen. Go in order; each step prepares the data for the next.

  1. Business ScaleAdmin › Organization

First step: choose a level based on your company's size and the way you work; the menu and default settings open accordingly.

Chooses the business's scale (number of people, branches and companies) as a level; the screens opened in the menu grow step by step with the level. The setup interview suggests the level, the first-day menu and the company settings together. Screen guide

  2. Import/ExportAdmin › Data

Drop your business partner, material, employee and chart of accounts files in one go. Upload the Excel you exported from your old program (Logo, Mikro, Netsis …) as it is; column names are recognised.

Takes the Excel/CSV files brought in for go-live (business partners, materials, employees, chart of accounts…) in one place: it suggests the record type of each file, and Import opens the target screen's import with that file. Screen guide

  3. Employee ListHR › Personnel & Organization

Before entering employees, the legal entity, job descriptions and organisational units must be defined; Go-Live Cockpit points out what's missing with "First: …".

Lists and manages all employees' personal, position and contact details. The bulk action that applies a raise or a position, location or department change to selected employees in one go starts here; an action reaching the approval threshold is applied once approved in the Inbox. The address map is a view of the list, and the bulk action history is in the Related Screens menu. Screen guide

  4. Opening BalancesFinancial Accounting › Period Closing

Upload your old program's closing balances; you see the opening voucher in a preview and approve it.

Uploads opening balances for business partners, cash (bank · cash desk · card), stock and equity from a file: the preview shows voucher lines, balance and skipped records; the opening voucher is posted with a 199 balancing entry, and Z99 undoes it with a reversing entry. Screen guide

  5. Data QualityAdmin › Data

Scanned every night; critical gaps (tax number, unit …) land as a task for the record's owner.

Counts data gaps such as a missing tax number, unit or national ID by rule; takes you to the record to fix it. Screen guide

  6. Shadow PeriodFinancial Accounting › Period Closing

While running in parallel with your old program in the first months, compare the trial balances; when no difference is left, the switch is complete.

During the switch, while the old program runs in parallel, it loads the old program's trial balance at each month end and compares it with ours account by account; a difference above tolerance becomes a task for accounting, and the task closes itself when the difference is gone. It doesn't touch the ledger. Screen guide

Users and permissions

The number of users is unlimited; the fee is calculated in tiers from the number of active people.

  1. UsersAdmin › Users & Permissions

Invite your team and give them roles; follow sessions and sign-in history.

Adds system users and manages their roles and status; users' session and sign-in activity (active sessions, sign-in history, idle and suspicious sign-ins) is a section of the same screen. Screen guide

  2. Authorization GroupsAdmin › Users & Permissions

Decide which role sees which screen and what it can do.

Defines role-based permission groups and screen access. Screen guide

Subscription, invoices and your data

  1. Subscription & BillingAdmin › General Settings

Your subscription invoices, payment status and the export of all your data (ZIP) are on the same screen.

Shows your subscription status (trial, active, suspended); calculates the fee in tiers from today's number of active people, and you start the subscription monthly or yearly by card. You update the card; cancellation takes effect at the end of the period. Card details aren't stored in the product. Screen guide

Integrations and API

  1. IntegrationsAdmin › Integration & Notifications

See the status and missing settings of connections such as e-Invoice, bank statements, exchange rates and email here.

Manages the company's own external service accounts (SMS, IYS, marketplaces …) and shows the status of their sync flows: last sync, stale data, errors per flow; threshold-based alerts for syncs are on the Process Health screen. Screen guide

  2. API KeysAdmin › Integration & Notifications

Create a key to connect your own systems; see the Developers page for usage.

Creates and manages API keys for external access. Screen guide
